Apna Saathi (“the Service”) is a community platform for housing societies in India. It is operated by Codeverse Dynamics LLP (“we”, “us”, “our”).

2. What this policy covers
This policy applies to personal data processed through:
- the resident mobile app
- the security guard mobile app
- the society admin web panel
- this public website, including demo and support forms
This page is public. You do not need an account to read it.
3. Information we collect
Depending on how you use the Service, we may collect:
- Account details — name, email, mobile number, password (stored hashed), date of birth, gender, profile photo, and role (resident, family member, staff, guard, or society admin).
- Society details — society name, block/flat, membership type, and related onboarding information.
- Household & safety — emergency contacts and SOS alerts you raise.
- Visitor & gate records — guest name, phone, vehicle number, purpose of visit, pass codes, check-in/out times, and gate photos captured by security.
- Community activity — notices you read, polls you vote on, complaints, helpdesk tickets, community posts, comments, and in-app messages.
- Payments — invoice amounts, due dates, and payment status. Card or UPI credentials are handled by the payment gateway, not stored by us.
- Device data — push notification tokens and device platform so we can send alerts (visitor at gate, SOS, bills, notices).
- Website enquiries — name, email, and society name when you book a demo.
We collect OTP-verified contact details so we can confirm it is you signing in. We do not sell personal data.
4. How we use information
- Create and manage your account and society membership
- Run visitor entry, SOS, notices, complaints, amenities, and other society operations
- Send OTPs, transactional SMS, email, and push notifications
- Process maintenance and other society payments
- Provide support and investigate abuse or security incidents
- Improve reliability, prevent fraud, and meet legal duties
6. How long we keep data
We keep account and operational data while your membership is active and for a limited period afterwards if the society still needs it for security, billing, or legal records. Gate logs, invoices, and similar society records may be retained by the society even after you leave. You can ask us to delete your personal account — see Account deletion.
7. Security
We use access controls, encrypted transport (HTTPS), hashed passwords, and role-based permissions. No method of storage or transmission is completely secure. Please keep your OTP and password private.
8. Your rights
Under the Digital Personal Data Protection Act, 2023 and other applicable Indian law, you may request access, correction, or erasure of your personal data, or withdraw consent where processing is based on consent.
Email tech@apnasaathi.co from your registered contact. We may need to verify that the request is from the account holder. Society-owned records (for example, a visitor log created for your flat) may also need confirmation from the society administrator.
9. Children
Apna Saathi is built for adult residents, staff, and security personnel. Primary accounts should be created by people 18 years or older. If a household includes a minor, a parent or guardian should manage that membership. If you believe we hold data of a child without appropriate consent, contact us and we will look into it.
11. Changes
We may update this policy when the Service or the law changes. The “Last updated” date at the top of this page will change. Continued use of the Service after an update means you accept the revised policy.
